KML files are used to define the geographic boundaries of areas in the Neighbourhood Alert system. A separate KML file is used for each individual area, with that file containing just the boundary for that area.
It's important that this information is accurate to your force's Policing boundaries as the area structure is used in many places throughout the system - from sending Alerts, to filtering reports and survey results.
It's also vital to make sure the area structure matches the areas on your force's single online home pages, if you wish to share data from Neighbourhood Alert to your force's Single Online Home website, details on using the SOH Feed functionality can be seen here: Single Online Home Setup and Configuration (Super User).

Updating the Area Structure in the Alert system
If the area structure for a force area, or part of a force area, needs to be updated, there are a few requirements for this to be done:
- The relevant Police force should provide lowest level area (usually ward) kml files, along with a hierarchical structure in excel format, to describe how those wards are grouped to make up the higher level areas. E..g, which wards make up each Neighbourhood, which Neighbourhoods make up each sector etc, up to the whole force area level.
- Or, the whole area structure may be provided as kml files organised within folders, if this is already organised into the different area tiers as relevant for the force.
Depending on the types of changes made, there may be a number of implications on the data within those altered areas:
- Admins for any altered areas may need to be re-assigned access to the relevant new areas. Guide: https://visavltd.zendesk.com/hc/en-gb/articles/5162345272863-Updating-Admin-Accounts-Details-Areas-Teams-Super-User
- Engagements within affected areas would become unmapped, but may be manually re-mapped to new areas.
- Local Area Page Setup would need to be configured for any new areas, or re-added for altered areas. Guide: https://visavltd.zendesk.com/hc/en-gb/articles/15136722039453-Local-Area-Pages-Setup-Super-User
- SOH Setup would need to be configured for any new areas, or re-added for altered areas. Guide: https://visavltd.zendesk.com/hc/en-gb/articles/4926030377503-Single-Online-Home-Setup-and-Configuration-Super-User
- Historic reporting data would not be available in most reports for any removed areas - Alert areas, KPIs, Geo-Visualiser etc
